2. Submitting Monitoring

Overview

Various updates will be made to the information stored on a member of staff’s review during the time of the review period. In this section we shall complete and submit one of the observations listed in the review.

Instructions

Practical Task:

  1. Select My Staff from the options under My Details in the left-hand contents menu

  2. Click on the name of the staff member you started the review for

  3. Ensure you are on the Portfolio page for the review you created a few minutes ago

  4. Select the Monitoring tab

  5. Click on the monitoring title (in the Focus column) with the closest date to today

  6. Take a couple of moments to scroll down the monitoring form to see the various items in it

A monitoring form will have header information at the top, questions to be answered in the middle and summary information at the bottom. The top of your monitoring form will appear something like this:

The teacher and observer are shown prominently at the top of the form

A section called Question Headers has various information defaulted but this can be edited by the observer

The middle section of your monitoring form will appear something like this:

Under the Question Headers section is the Observer Questions section

Some questions will be graded questions where the observer can select a Judgement which offers Guidance and possibly a text area for a comment

Other questions will be non-graded and only allow a text response

The bottom section of your monitoring form will appear something like this:

Notice:

Under the questions there is a section for Observer Comments (not shown in the screenshot above)

Under this is a section for Teacher Comments

Then a section for the observer to grade according to the various Performance Criteria

Then a section for the observer to select an Overall Monitoring Grading

A monitoring form like this may well be filled in by the observer when actually monitoring the lesson or other activity. Notice:

In the top right of the page, the main options are to Save, Save & Close and Submit. The form will be submitted when the observer has checked all their responses have been recorded

Monitoring Forms can be formatted in many different ways with some of the above features absent. In particular it is possible to make non-graded monitoring forms and also set the monitoring forms to be hidden from the member of staff monitored.

Practical Task:

  1. Fill in all the information in the Question Headers section of the monitoring form
  2. Set the date to today
  3. Answer the questions with grading selections and short text in the comments boxes
  4. From the top right header, select Save & Close

Notice the date of the form now displays as today but the status is unchanged as Not Submitted. If you click on the form again you will see your answers have been saved.

Practical Task:

  1. Login as the reviewee who has just been monitored
  2. From the Home page select My Portfolio from the options in the top right
  3. Select the Monitoring tab

Notice this user cannot open the monitoring and cannot see the observer’s gradings and comments.

Saving monitoring without submitting it should only be a temporary measure. We need to re-enter the monitoring form and complete the input of data and then submit the form so it is available for review by permitted users and to contribute to reporting statistics.

Practical Task:

  1. Log out as the reviewee and login again as the line manager (reviewer)

  2. From My Staff select the staff member and go to their Portfolio

  3. From the Monitoring tab, open the monitoring you recently saved

  4. Check your previous input is present and fill in any further information including gradings

  5. Select the Submit option from the What Next? dropdown

Notice:

The monitoring status is now updated to show the overall grade

The Date Completed is set to today

The monitoring graph is updated to show the submitted monitoring

Practical Task:

  1. Log out as the line manager and login as the reviewee

  2. Go to the Portfolio and select the Monitoring tab

  3. Click on the monitoring to open it

  4. Check the observer’s comments and gradings

  5. Enter some text in the Teacher Comments section

  6. Select Update from the What Next? Dropdown

  7. Select Close to exit

You will see the reviewee’s monitoring graph has updated but without the Not Submitted entries.

Practical Task:

  1. Log out as the reviewee and login again as the line manager (reviewer)

  2. From My Staff select the staff member and go to their Portfolio

  3. From the Monitoring tab, open the monitoring you recently submitted

  4. Check you can see the reviewee’s comments

  5. Select Close from the What Next? Dropdown options

Note your establishment may use confidential monitoring forms which are available to yourself as a line manager but not to the staff you have observed. If you use such forms you will have an extra tab on the Portfolio page of your reviewees titled 360 Monitoring where such confidential monitoring is stored. In such a case the Portfolio screen would appear like this:
